Student Account Specialist

Purpose for the Position: The Student Account Specialist role manages all aspects of the "Payment for College" process. This includes student accounts receivables, in the traditional sense, but we approach this task uniquely. With our customer service philosophy and our goal of helping students be wise stewards of their resources, we invest and participate in student's lives. Account Specialists have authority and responsibility to extend grace, interpret and enforce policy, intervene and advise, assess risk and act accordingly, and recommend administrative actions. They help students understand their charges, payment options, tax reporting benefits, fees and fines. They educate students utilizing knowledge of how an integrated data/software environment impacts finances. They work with all student populations, all modalities, undergraduate, graduate, and ADP Connect.


Essential Responsibilities:

  • Respond to and greet prospective and current students and families in person, by e-mail, text, online video appointments and by phone regarding financial policies and the payment for college process; make referrals and advocate with financial aid and other offices about services, retention, and financial clearance.
  • Manage assigned student accounts receivables through proactive customer services: problem solving, promoting sound financial decision-making, providing payment estimates, payment coaching and initiating follow up actions, through financial aid, and collecting.
  • Exercise delegated authority and decision making for: financial clearance, payment plan approval/denial, granting financial hold exceptions, late fee penalties, and giving input in tuition financial appeals and decisions impacting retention.
  • Use integrated student software system to manage accounts: manage data and related tasks, analyze and audit student charges, report system issues, set up and maintain payment plans, receipt payments, manage student transitions, upload and post batches, impact "service indicators" and test software updates prior to implementation.
  • Impart knowledge in an organized cohesive way. Make referrals and advocate.
  • Review and report Title IV regulatory compliance issues for withdrawn students (Federal Return of Title IV fund aid adjustments), refund requirements (Federal Cash Management rules), IRS 1098T reporting, and payment rules (Allowable vs Non-allowable Costs).
  • Project management as assigned: run queries, export, use Excel to analyze data, initiate/delegate appropriate next action and follow through. Efficiently and effectively use Google Suite tools for management of tasks, projects and as a communication tool.
  • Innovate and improve processes: learn, train, initiate and contribute solutions, actively participate in an office that highly values problem solving and teamwork.
  • Communicate effectively and courteously with others, including employees, students and the public, in a spirit of teamwork, respect and customer service.
  • By actions, words and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role.

Associated Duties:

  • Delegate tasks to student employees.
  • Documentation of procedures.
  • Other duties as assigned.

Minimum Requirements/Qualifications:

  • High school diploma and some college required. College degree preferred but will consider experience in lieu of degree.
  • Demonstrated aptitude for technology and computers required. Proficiency using Google Suite and Microsoft Office.
  • Demonstrated initiative and problem-solving skills with good reasoning and judgment required.
  • Demonstrated high ownership and sense of responsibility within a "team" construct.
  • Demonstrated ability to work effectively under pressure or in a fast-paced environment required.
  • Must be detail oriented and organized. Having financially related customer service experience is preferred.
  • Discretion and integrity in maintaining confidentiality.
  • Ability to communicate effectively in English, orally and in writing, including on telephone, and to understand and follow instructions.
