Interim Undergraduate Program Coordinator

Position Overview: Coordinate functions and operations within the undergrad Department of Business and Economics in the College of Business Coordinate key undergrad tasks and events in a way that supports the mission, strategy, and goals of the College of Business. Hire, train, and supervise two student employee teams of 5-8 student employees. Manage the undergrad front office. Coordinate faculty student advising loads. Assist adjunct faculty as needed. Coordinate and collaborate with the Department of Admissions on all recruiting events.

Stakeholders are students (300 business and economics majors,) parents, faculty, department chair, dean, financial affairs department, IDEA center, MarCom, Registrar's Office, admissions department, event services department, mail services department, and external business leaders.

Essential Responsibilities:

  1. Coordinate key events for all business and economics majors, along with faculty participation, which include but are not limited to events in collaboration with Admissions, IDEA Center, Athletics, Alumni, and Academic Affairs such as: student scholarship events, weekly and semester recruiting events as requested by the admissions and athletics departments, incoming student events in the fall, Industry Insiders Alumni Series (2-3 per semester), Town Hall (2 per semester), Homecoming Tailgate, Reiten Lecture Series (spring semester), Vita Tax Assistance (spring semester), graduation banquet and graduation reception (spring semester), group registration (spring semester), (LINK)
  2. Recruit, interview, hire, train, delegate daily work, and supervise student workers (5-8 students). Two teams, (1) administrative support for UG faculty and office management, (2) Social Media staff responsible for Instagram and Facebook posts, creation and distribution of The Business Brief (a bi-weekly business and economics major
  3. Coordinate undergrad faculty advising load assignments for all majors, maintain data, assist students with processes, and communicate to enrollment counselor.
  4. Work with the registrar's office to ensure accuracy of records pertaining the number of degree-seeking students (majors and minors)
  5. Supervise the undergrad front office and serve as "point person" who provides assistance to "walk-ins" and serves as a receptionist to "call-ins" (excellent customer service oriented demeanor).
  6. Coordinate university wide scholarship competition for undergrad in the spring (First two weekends in February) as well as the selection of business students applying for the GFU annual scholarship awards, which include the Patrick Kibler scholarship fund and Mark Selid UG memorial scholarship.
  7. Oversee and coordinate the procurement and proctoring of Peregrine accreditation assessments for all business majors (fall and spring) as well as data collection and reporting as pertaining to ACBSP and COB undergrad scorecard (program outcomes).
  8. Assist adjunct faculty with FoxTale assistance, orientation of work process, ordering textbooks, syllabi construction, posting grades, and processing textbooks orders when needed.
  9. Assist with administrative duties (e.g., manage petty cash, check requests, purchase orders, business cards, textbooks, recruiting materials, room reservations, register forms, office supplies, proctoring exams, maintain laser copier).
  10. Work with the IDEA center regarding internships and serve as one of the liaisons for the undergrad College of Business.

Associated Duties:

  1. Feed data to the COB scorecard and work with Director of PMBAFA.
  2. Collect UG syllabi from full-time faculty and adjunct faulty.
  3. Communicate effectively and courteously with others, including employees, students and the public, in a spirit of teamwork, respect and customer service.
  4. Assist with ACBSP accreditation.
  5. Other duties as assigned.

Minimum Requirements/Qualifications:

  1. Bachelor degree preferred and/or five years of Higher Education experience.
  2. Experience in event planning and execution. Ability to prioritize, delegate, and schedule tasks to student workers.
  3. Attention to detail, self-starter/self/motivated, problem-solver, excellent customer service, able to guard confidentiality, team player, good listener, and a very positive and optimistic demeanor.
  4. Experience and willingness to work with and for numerous people with different personalities and work styles, able to manager expectations graciously.
  5. An evangelical Christian commitment and lifestyle consistent with the institution's goals, including signed agreement with GFU Statement of Faith and Community Lifestyle Statement and being in living agreement with same. Demonstrates awareness, respect and appreciation for diversity of culture, background, race, sex, political views, expressions of faith, etc. and works well with a variety of people.
  6. Ability to communicate effectively in English, orally and in writing, including on telephone, and to understand and follow instructions.
