Executive Assistant to the Provost

The Executive Assistant to the Provost (EAP) works closely with the Provost to support the work of the Academic Affairs Office. The EAP assists in the operations by creating a structure for the communication and organization of ongoing and new projects, support commencement activities, manage the tuition exchange program, take minutes and manage the agenda for Academic Leadership team and annually update relevant handbooks, policies and procedures.

The EAP must be an engaging, organized and detail-oriented person who is dedicated and passionate about higher education and demonstrates strong skills in project management and teamwork.


Essential Responsibilities:

  1. Assist the Provost with calendar scheduling, multiple email accounts, various approvals, travel arrangements, etc.
  2. Maintain faculty personnel files and database
  3. In conjunction with the Provost, support the review and approval of budget expenditures for Academic Affairs.
  4. Support commencement-related events by co-leading commencement team meetings, managing the production of undergraduate and graduate programs, assisting the undergraduate platform party, updating the web page, playing a central communication role to graduates, their families, faculty, and staff.
  5. Manage the Tuition Exchange Program for the university.
  6. Take minutes for a variety of meetings.
  7. Support the work of the Academic Affairs Committee of the Board of Trustees.
  8. Annually update academic documents, handbooks, calendars and deadlines, registration forms, etc. Assist in reestablishing and maintaining an AAO policies and procedures manual.
  9. Manage the Academic Affairs Office including hiring and supervising student employees, ordering office supplies, maintaining equipment, budget oversight, file management, and website updates.
  1. In a variety of ways, support the Provost and be a resource person for the faculty by providing clear communication and information in a timely manner.
  1. Communicate effectively and courteously with others, including employees, students and the public, in a spirit of teamwork, respect and customer service.
  1. By actions, words and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role
  1. Create/compile/schedule communications for AAO News
  2. Coordinate meeting of Academic Administrative Assistants/Program Directors for training and inter-departmental communication.
  1. Demonstrate willingness to serve on committees or work groups as needed.

Minimum Requirements/Qualifications:

  1. Excellent interpersonal and communication skills with both large groups and individuals.
  2. Flexibility and adaptability in order to work effectively in a fast-paced office environment.
  3. High level of organization with the ability to be innovative and seek out new efficiencies for work systems.
  4. Positive and professional attitude.
  5. Ability to positively represent the university through interactions with the public.
  6. Strong teamwork orientation.
  7. Capable of working independently.
  8. Minimum of 2 years of college experience and 5 years of office experience with increasing responsibility.
  9. Ability to communicate effectively in English, including face-to-face, on telephone, in writing; and ability to understand and follow instructions.
