Executive Assistant for the Executive Dean of Wellness

Purpose for the Position: To provide administrative support for the work of the Executive Dean

Executive Assistant to the Executive Dean of the Wellness Enterprise Job Description: The Executive Assistant of the Wellness Enterprise (EAWE) works closely with the Executive Dean of the Wellness Enterprise (EDWE) and administrative staff of the enterprise to assist in the administration of Enterprise budgets, restricted costs centers, and contracts. The EAWE will be responsible for communication with external stakeholders, internal leaders and university offices. This position will require communication with the human resource personnel within the AAO to coordinate contracts for full-time and adjunct faculty and stipend administration for clinic management. The successful EAWE will collaborate with the EDWE in the compilation of data related to program success. This person is a key member of the Enterprise team and will organize, communicate and take minutes for the monthly Wellness Enterprise meetings. The EAWE will manage the organization and timing of faculty growth plan submission and feedback. The EAWE will be a mission driven, engaging, organized and detail-oriented person.


Essential Responsibilities:


  1. Assist the Executive Dean with administrative tasks for routine daily management of the Enterprise (e.g., scheduling, calendar, email communication).
  2. Maintain faculty personnel files and databases.
  3. In conjunction with the Executive Dean, support the review and approval of budget expenditures for the Enterprise.
  4. In conjunction with the Executive Dean, provide administrative support for faculty load determination and allocation, as well as contract creation and hiring processes.
  5. Assist in projects related to the assessment of Enterprise programs and initiatives. Such assistance could include data collection, data management, and data presentation.
  6. Provide effective communication with external stakeholders and key internal leaders.
  7. In conjunction with the Executive Dean, engage in decision making to address administrative challenges that arise.
  8. Take minutes for a variety of meetings.
  9. Support the Executive Dean by serving as a resource person for the faculty through clear communication and timely dispersal of information.
  10. Communicate effectively and courteously with others, including employees, students and the public, in a spirit of teamwork, respect and customer service.
  11. By actions, words and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role.
  12. Create/compile/schedule communications for the Wellness Enterprise
  13. Coordinate communication and training among Wellness administrative staff.
  14. Demonstrate willingness to serve on committees or work groups as needed.

Minimum Requirements/Qualifications:

  1. Excellent interpersonal and communication skills with both large groups and individuals.
  2. Flexibility and adaptability in order to work effectively in a fast-paced office environment.
  3. High level of organization with the ability to be innovative and seek out new efficiencies for work systems.
  4. Positive and professional attitude.
  5. Ability to positively represent the university through interactions with the public.
  6. Strong teamwork orientation.
  7. Capable of working independently.
  8. Minimum of 2 years of college experience and 5 years of office experience with increasing responsibility.
  9. Ability to communicate effectively in English, including face-to-face, on telephone, in writing; and ability to understand and follow instructions.
