College of Christian Studies, Liberal Arts, and Honors

  

Employment Period:        40 hours per week during academic year (August 15-May 14), 20 hours per week during summer months (May 15-August 14)

Start Date:                             July 1, 2018 

Position Overview: 

This position provides a high level of administrative support and office management for the dean and faculty of the College of Christian Studies (CCS) and General Education (GE) program. The College of Christian Studies, Liberal Arts, and Honors plays a special role in ensuring the University's delivery on its mission to be a place of excellent liberal arts learning and a Christ-centered academic community. Because these programs are so central to the University's mission this person will work with the dean across University lines and in the surrounding community as an ambassador of the University's ethos of faith and learning.

Primary Responsibilities: 

  • Maintain the dean's and CCS and GE calendars; coordinate travel arrangements for dean, greet and assist students, faculty, ministry professionals and other visitors
  • Plan and execute annual University-wide lecture series
  • Manage numerous financial functions, including accounts payable and receivable, tracking/managing budgets, credit card reconciliation and managing petty cash
  • Work with Academic Affairs Office (AAO) and Human Resources to process overload and adjunct contracts and new hire paper work. Coordinate faculty loads and course schedules with the dean, chair, AAO, and Registrar's Office.
  • Coordinate and execute numerous events, including monthly dept. meetings, retreats, donor events, advisory board meetings, senior banquet, scholarship competitions, career fairs, local ministry gala, and recruiting efforts (Friday at Fox, Bruin Preview).
  • Responsible for cyclical and special projects such as accreditation reports, collection and management of assessment data, CCS student demographic data, maintaining contact information for alumni and ministry partners, managing course evaluations and faculty growth plans
  • Supervise student employees, including posting openings, selection, hiring, and scheduling
  • Responsible for ordering office supplies and for equipment maintenance
  • Liaise with MarCom and Print Services on marketing materials, web updates and press releases; liaise with the IDEA Center on internships, information meetings and job interviews
  • Assist dean in networking efforts, recruitment, fundraising, and strategic partnerships in local and national Christian community

 

Qualifications/Requirements 

  • Bachelor's degree or a minimum of 5 years of successful administrative support experience managing a varied and heavy workload in an extremely fast-paced office environment
  • Some accounting experience, including demonstrated proficiency in tracking budgets
  • Experience in event planning
  • Outstanding interpersonal and customer service skills; team player
  • Proficient in Microsoft Office and Google products and able to become proficient in other administrative software programs (Foxtale, PeopleSoft, etc.)
  • Very high level of initiative, dependability, and the ability to work independently
  • Excellent organizational skills, detail orientation, and ability to work in a fast-paced, interrupt-driven environment.
  • Exceptional communication skills, both oral and written.
