Executive Assistance to the Dean of the Seminary

This role provides comprehensive support for the dean of the seminary, and supports the daily operations of the masters program. The position reports directly to the dean while working closely with the assistant director of the seminary and associate director of the masters program, to create an excellent working environment for students, faculty, and administration.

Executive Support

  • Manages Dean's calendar
  • Coordinates meetings and minutes for Seminary Leadership Team meetings (SALT) & Board of Regents
  • Oversees Entering/Graduating student questionnaire, archives minutes/reports for ATS reports, assists in collecting data for annual ATS report
  • Manages travel for the Dean, Regents, visiting professors and adjuncts
  • Coordinates Dean's and Seminary Team events/rituals: Welcome back breakfast, Seminary Christmas event, faculty fall retreat, spring prayer and planning day
  • Bi-annually updates Faculty Workload into PeopleSoft

Student Support

  • Provides excellent customer service to every prospective student, student, visiting dignitary, faculty and adjuncts
  • Implements informational and organizational systems in order to deliver a high quality experience to students/alumni, faculty and staff
  • Facilitates Assessment and Candidacy Analyzes data to determine which student need to complete the process, communicates with assessment specialist, schedules student tests and faculty interviews, follows up with registrar
  • Identifies students ready for graduation, manages regalia, all communication before graduation
  • Tracks scholarships

Financial Affairs

  • Monitors Dean's budget including monthly visa reconciliation
  • Assists in analyzing and evaluating Masters budget for accuracy
  • Initiates, process, tracks and audits account payables and receivables associated with Masters program spending to ensure processing in a timely and accurate fashion
  • Purchases goods and services for the seminary within the budgetary confines

Human Resources

  • Manages hiring processes for seminary faculty, creates adjunct contracts, DMin mentors temporary employees, TA's and student workers
  • Oversees check requests for leadership coaches and spiritual directors
  • Completes required paperwork for guest speaker remuneration and expense reimbursement or mileage reimbursement (I-9 & CR, etc)

Events Coordinator

  • Assists in planning and executing BridgeWeek, WaterFront and other Face-to-Face events
  • Collaborates in planning Hooding & Commencement Ceremony and Masters celebration
  • Assists when needed in other seminary-wide events

General administrative assistance

  • Schedules masters meetings & events, including room reservations, catering & calendaring
  • Creates and maintains student files in office, updates student database as needed
  • Collects and archives syllabi
  • Designs class schedule list, and assists with submission of course schedules

Other duties

  • Coordinates mailings, mail collection and distribution
  • Posts student job opportunities on FB and bulletin board
  • Contributes to community building through social media posts

Qualifications/Requirements

  • Bachelor's degree required; three (3) years related work experience preferred.
  • Experience organizing and managing events.
  • Ability to effectively manage several projects at once and meet deadlines.
  • Proficient in Microsoft Office and Google office apps.
  • Ability to work independently and as a team member.
  • Strong interpersonal, collaborative skills resulting in effective relationships with student and faculty. Must possess excellent written and oral communication skills.
  • Bilingual, preferred.
