Administrative Assistant

MISSION-RELATED & EXTERNAL FACING

1. Assist the Chair or Director in local and national networking and recruiting efforts. We want our Theology degree to be a flagship program for George Fox University, so this includes working with our marketing team to develop great materials, figuring out who needs to see them, and being committed to the follow-up!

2. Develop and manage all department social media for current and potential student groups. Our constituencies need better and more frequent messaging'getting a good buzz around department events, establishing healthy platforms to tackle pressing social issues, and fostering a better sense of "team" for our majors.

3. Work with Advancement to develop a vibrant alumni strategy. What are our alums doing inside and outside of the church? How can we get local alums reconnected with and involved in our department? This will require both diligent data collection and relationship building.

4. Demonstrate a passion to participate in our department's mission as it relates to the spiritual formation of all George Fox undergrads. We want every student to be adept at learning to better love God, their neighbor, and themselves in healthy ways. The work transcends the classroom'it's a whole culture!

DAY-TO-DAY & SPECIAL EVENTS

5. Coordinate great events throughout the year. Whether it's a faculty meeting or a commencement celebration, you think of everything, from the catering layout to program flow.

6. Supervise our stellar student worker staff. This includes identifying and recruiting new hires, training, scheduling, delegating, evaluating, and liaising between the student staff and faculty. Our staff serves individual professors, as well as the department as a whole'you are the crucial link!

7. Manage all of the relevant calendars. You should know what your Chair has going each day, when your faculty hold office hours, when your student staff is scheduled, and all other department and University events.

8. Manage your email effectively! Applying your personal strategy means you've read, prioritized, and organized your inbox to reach and maintain zero unread emails awaiting your reply at the end of each workday (yes, this is aspirational)!

9. Constantly track action items. You are the faculty meeting notetaker and keeper of a long list of both short- and long-term work efforts within your department. You know which faculty are on what committees and you know all the important due dates and deadlines throughout the academic year.

10. Understand University systems and protocols inside and out. We have robust software platforms that help you with all of your admin duties'booking travel, organizing budgets, document management, and running a variety of helpful reports. Google and MS Office are central to your work.

11. Manage the office to make it warm and welcoming. Everything from ordering supplies to onboarding new faculty or adjuncts to maintaining office equipment falls in this bucket. No task is too large or too small. You just do the things!

12. Stay networked with your counterparts around campus. The Academic Affairs Office helps administrative staff stay connected throughout the year, but you go the extra mile to find out what people are doing in other departments that are making an impact on students and faculty. You're not afraid to employ new systems that are smarter and better than the status quo.

13. Know how to keep a confidence. Working in the School of Theology will require your ability to act with the utmost professionalism. Both faculty and students trust you with important and sensitive information.
