Administrative Assistant in the Office for Spiritual Life

Reports to: Associate Dean for Worship Programs

Department: Spiritual Life

Schedule: 20 hours/week. August 15th May 15th

Purpose for the Position:

The General Receptionist for the Office of Spiritual Life serves as the first person guests encounter when visiting the Office for Spiritual Life. The general receptionist: serves as a welcoming presence for all visitors to the office; schedules student meetings for the university pastors; maintains a welcoming space in the lobby, and supervises student workers hired to share the reception duties. The administrative assistant creates a sense of welcome and connection as students and others interact with the department. This position reports to the Associate Dean for Worship Programs.

Essential Responsibilities:

  • Serves as the primary receptionist in the Office for Spiritual Life.
  • Provides occasional administrative support for the University Pastors.
  • Manages the general organization and order of the office as directed by the Associate Dean, including office supplies, orderliness of the office space, calendars, and correspondence. Creates a sense of welcome and care for guests to the office. As the first point of contact for the office, provides great customer service for the broader university community as well as outside guests who interact with the office. As the first point of contact for the university pastors, will encounter crisis situations and make decisions based on protocol in order to refer to the appropriate university responder.
  • Participate in logistical planning for Faith and Culture Department events. Work closely with related departments, including but not limited to events, catering, and media services.
  • Train and co-supervise student employees. Set schedules, assign workload, and maintain a professional, service-oriented environment. Follow up on task completion with student employees.
  • Communicate effectively and courteously with others, including employees, students and the public, in a spirit of teamwork, respect and customer service.
  • By actions, words and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role.
  • Demonstrate awareness, respect and appreciation for diversity of culture, background, race, sex, political views, expressions of faith, etc. and works well with a variety of people.

Associated Duties:

  • Participate in Student Life division-wide activities and initiatives.
  • Work closely with student interns and student employees to provide opportunities and programs that reflect the University's core values and encourage the spiritual growth of students.
  • Participate in occasional evening and weekend department events.
  • Other duties as assigned.

Minimum Requirements/Qualifications:

  • An evangelical Christian commitment and lifestyle consistent with the institution's goals, including signed agreement with GFU Statement of Faith and Community Lifestyle Statement and being in living agreement with same.
  • Strong organizational skills; the ability to multi-task; proficiency in Microsoft Excel.
  • 2-3 years of relevant administrative, event planning, or customer service experience required
  • College degree strongly encouraged.
  • Strong understanding of and passion for the spiritual formation of Christian university students.
  • Expertise and experience working with diverse populations is highly preferred.
  • Ability to communicate effectively in English, orally and in writing, including on telephone, and to understand and follow instructions.
  • Spanish fluency strongly encouraged.
