George Fox University announces a 0.5 full time equivalent staff position (administrative assistant) in the school of medical science (PA), to begin in July 2019.  The position is in a developing physician assistant program located in Newberg, Oregon. The selected candidate will report the program Chair.

Responsibilities include, but are not limited to:

The Administrative Assistant has assigned duties at the discretion of the Chair. As a minimum, these include:

  • Help facilitate and maintain the program's self-assessment process. 
  • Works with administrative personnel and faculty within the DMSc PA Program to collect and aggregate data required for analysis as dictated by the program's self-assessment processes.  These duties include:
    • Serve as primary support staff on the Program Executive Committee, coordinating meetings, preparing agendas, and recording minutes.
    • Help develop program self-assessment instruments (paper and electronic) to collect required data elements.
    • Help analyze data and prepares formal program self-assessment reports.
    • Assist in preparing required accreditation application documentation including self-study reports.
    • Maintains databases and self-assessment program records.
    • Work closely with faculty and staff members on program committees to coordinate follow through of program improvement initiatives.
    • Assist Program staff/faculty in preparation of self-study reports, accreditation, site visits, etc., as directed
  • Executive Secretary duties include:
    • Greet visitors and answer telephones in a professional and courteous manner.
    • Under the director of the Program Chair, help establish and monitor program files.
    • Maintains electronic data on student contact information and on-line calendar/s.
    • Organizes, coordinates, and schedules complex activities such as faculty/staff travel arrangements including itineraries, briefing materials, appointments, and arrangements for conferences and lodging. Follow-up and track purchase orders or expense reports involved.
    • Perform desktop publishing duties by creating and developing visual presentations for the Program. Design and draft general correspondences, memos, charts, tables, graphs, signs, etc. Proofread copy for spelling, grammar and layout, and makes appropriate changes.
    • Serve as a recording secretary for assigned committee meetings. Ensure that all participants have meeting agenda and reminds attendees of meeting schedules. Attends meetings and records minutes for file and distribution.
    • Arrange meetings and special events (graduation, receptions, etc.) as needed by reserving meeting space, arranging food service (if needed) and working with the facilities for room set-up (if needed). Order regalia for academic occasions.
    • Processes expenses, submit Purchase Orders, etc. to the Business Office. Maintains hardcopy and electronic bookkeeping spreadsheet records for all program budget purchase orders, expense reports, etc.
    • Work closely with Chair to facilitate orientation and training of new faculty and staff.
    • Helps the Admissions Specialist establish calendar for and coordinate program informational sessions.
  • Serve as primary support staff for the Chair
  • Performs other duties as may be assigned from time to time.

Qualifications

  • Bachelor's degree (Master's degree preferred)
  • A background in statistics and data collection
  • Knowledge of secretarial and office administrative procedures
  • Strong interpersonal and communication skills
  • Office software and internet computing skills
  • A commitment to working with a diverse population of students is essential; demonstrated experience in this area is preferred.
  • All applicants must express a personal commitment to Jesus Christ and express their Christian testimony in a local church. In addition, professors agree to live in agreement with the Community Lifestyle Statement and affirm the theological commitments expressed in the Statement of Faith.
  • Candidates must have legal authority to permanently work in the U.S.
