Administrative Assistant for the Office of Spiritual Life

Job Purpose

The administrative assistant for the Office of Spiritual Life provides administrative support for the Dean for Spiritual and Intercultural Life, the university pastors, and the endeavors of the office, with ancillary support for the Department for Faith and Culture.  The administrative assistant creates a sense of welcome and connection as students and others interact with the department. This position reports to the Dean for Spiritual and Intercultural Life.

 

Essential Responsibilities:

  • Provides primary administrative support for the Dean for Spiritual and Intercultural Life.
  • Provides secondary administrative support for the associate pastor for chapel programs, the associate pastor for ministry and service, and departmental support as directed by the Dean.
  • Manages the general organization and order of the office as directed by the Dean, including office supplies, orderliness of the office space, budgets, calendars, and correspondence.  Creates a sense of welcome and care for guests to the office.  As the first point of contact for the office, provides great customer service for the broader university community as well as outside guests who interact with the office.  As the first point of contact for the university pastors, will encounter crisis situations and make decisions based on protocol in order to refer to the appropriate university responder.
  • Participate in logistical planning for Faith and Culture Department events. Work closely with related departments, including but not limited to events, catering, and media services.
  • Coordinate chapel speaker travel and logistics.  Coordinates key logistics in hiring chapel greeters, including but not limited to interviewing, ensures paperwork completion of hired students, and turns in student timecards each month.  Maintain database and manage logistics for chapel accountability.
  • Assist with serve trip and local service coordination and logistics as needed.
  • Provide administrative leadership for office budgets, including tracking all expenses and income, decision making related to chapel fines, correspondence related to fundraised money, and serving as office liaison to the business office.  Provides oversight for petty cash.  Tasks include chapel speaker honorariums, credit card reconciliation, check requests, and budget transfers. Strong accounting skills or budget experience necessary.
  • Train and co-supervise student interns.  Set schedules, assign workload, and maintain a professional, service-oriented environment.  Follow up on task completion with interns.
  • Communicate effectively and courteously with others, including employees, students and the public, in a spirit of teamwork, respect and customer service.
  • By actions, words and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role.
  • Demonstrate awareness, respect and appreciation for diversity of culture, background, race, sex, political views, expressions of faith, etc. and works well with a variety of people.

 

Associated Responsibilities

  • Participate in Student Life division-wide activities and initiatives.
  • Work closely with student interns and student employees to provide opportunities and programs that reflect the University's core values and encourage the spiritual growth of students.
  • Participate in occasional evening and weekend department events
  • Other duties as assigned.

Minimum Qualifications

  • An evangelical Christian commitment and lifestyle consistent with the institution's goals, including signed agreement with GFU Statement of Faith and Community Lifestyle Statement and being in living agreement with same.
  • Strong organizational skills; the ability to multi-task; proficiency in Microsoft Excel. 
  • 2-3 years of relevant administrative, event planning, or customer service experience required
  • College degree strongly encouraged.
  • Strong understanding of and passion for the spiritual formation of Christian university students. Experience directly working with college students.
  • Strong interpersonal, communication and discipleship skills, particularly with college-aged students; expertise and experience working with diverse populations is highly preferred.
  • Ability to communicate effectively in English, orally and in writing, including on telephone, and to understand and follow instructions.
  • Spanish fluency strongly encouraged
