Accounts Receivable Manager, Associate Bursar

The Director of Student Accounts is seeking to hire an Associate Director (Accounts Receivables Manager / Associate Bursar) who is interested in the potential of advancement within the department. Candidate Sought:

The ideal candidate is wired for a technology-based customer service environment, is innovative, has good judgment, and practices active listening. This position is responsible for "front office" leadership and milieu. This includes direct supervision and management of the staff team of specialists, currently four positions, related procedures, customer services, and communications. They must be able to deliver the GFU Be Known Promise with kindness, good stewardship and positivity. They must be able to discern, weigh and evaluate financial risk against our dedication and commitment to help students finish their degree. They have the authority to both enforce policy and make policy exceptions - impacting student retention and collections in the process. This position is responsible for innovatively and strategically problem-solving, celebrating success, and recommending administrative actions to the Director, as needed. This position has additional leadership responsibilities when the Director (Bursar) is absent.


Essential Responsibilities:

  • Responsible for a proactive and solutions-oriented, "students first" approach to receivables while still achieving team goals. Customers include students, parents, other payors, administrators, staff, faculty and prospective students. Semester based financial review processes vary by population and debt risk.
  • Define problems and take appropriate action, innovatively address long term solutions, implement communication tools and procedures to impact retention, mitigate liability, ensure customer service and receivables goals are met. Collect data, establish facts, draw valid conclusions and report.
  • Enforce non-payment leverages, from late payment fees all the way to recommending students for administrative dismissal.
  • Hire, lead, train, supervise and evaluate staff responsible for student receivables and related customer services. Manage the milieu of the "front office" and give input on hiring and evaluations of other staff members within department.
  • Actively participate as a "Leadership Team" member, exercising authority as delegated and strategically addressing departmental and university goals.
  • Participate as a proactive member of the Student Success Network; Proactively lead and represent our area in retention efforts.
  • Work closely with the Financial Aid Office for timely disbursement of aid. Report potential Title IV compliance concerns, Satisfactory Academic Progress impacts.
  • Manage the account transfer process from "current" to our internal "non-current" collections team member
  • Manage "Bruin Bound Summer" responsibilities and work closely with the Admission and Financial Aid Offices as a representative of GFU to prospective students. Participate in Graduate and Adult Degree Student Orientations.
  • Develop tools to assist customers in using and completing financial requirements.
  • Manage data points updated by account specialists, such as service indicators, financial risk coding, payment plans, and overrides.
  • Oversee late fee assessments and related appeals. Give input on tuition appeals.
  • Must be able to maintain personal composure in high stress situations and being able at all times to communicate effectively and courteously with others, including employees, students and the public, in a spirit of teamwork, respect and customer service.
  • By actions, words and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role.

Associated Duties:

  • Work closely with those managing third party billings – Our Veteran's Certifying Officials wear two hats (VA/AR) and are two of the four who currently report to this position.
  • Assist with PeopleSoft troubleshooting, testing and reporting issues to the Associate Director over Operations.
  • Lead and give input on shared workspaces, Google suite, web pages edits and other office needs.
  • Work occasional Saturdays, approximately 2 to 3 per year.
  • Other duties as assigned.

Minimum Requirements/Qualifications:

  • Seeking an applicant with a bachelor's degree, however, seeking competency and a combination of related experience, leadership and office management is equally valued and will be considered. Three years of comparable experience required.
  • Demonstrated ability to use good judgment, active listening, make decisions, strong interpersonal and problem-solving skills required;
  • Demonstrated high ownership and team values.
  • Demonstrated ability to multi-task and work under pressure required.
  • Computer proficiency; the ability to quickly learn and use technology and data to inform decisions required; Microsoft Office, Google Suite experience and Excel proficiency required; experience using integrated software systems helpful.
  • Strong customer service, initiative, deductive reasoning and analytical thinking skills required.
  • Demonstrated ability to plan, set goals and organize; manage multiple priorities and tasks while under pressure.
  • Discretion and integrity in maintaining confidentiality; FERPA.
  • Ability to communicate effectively in English, orally and in writing, including on the telephone and under pressure. Ability to listen, clarify, understand, give and follow instructions required.
