Position Overview: This is a full-time, 12 month administrative contract for an assistant director of the Clinical Practice Office to work directly with the CPO Director to provide varied forms of support in the planning, operations, and to coordinate program assessments within the College of Education.

The College of Education is comprised of multiple units including:

  • Preservice teacher preparation programs (undergraduate and graduate levels),
  • School psychologist preparation program accreditation,
  • Preservice and in-service school administrator programs
  • Graduate programs for in-service teachers, including Master of Education

Essential Responsibilities:

1) Coordinate collection of assessment data

  • Recording and processing of clinical practice data using the COE student management system
    • Create and set up needed templates for recording of observations/evaluations
    • Assist personnel with use of system, make corrections as needed
    • Run data reports at strategic times and when requested; create custom reports
    • Share reports and data with Director of Clinical Practice and faculty
    • Assist in record keeping, entering practicum information in students' digital files
  • Teacher Performance Assessment Tool
    • Run data reports at strategic times and when requested
    • Share reports and data with Director of Clinical Practice and faculty
  • Student and Completer/Employer Surveys
    • Develop and distribute digital forms, online surveys: students, alumni, employers, Cooperating Teachers, and Teacher Education Associates
    • Create and maintain surveys
    • Monitor delivery and collection of surveys
    • Run data reports at strategic times and when requested
    • Share reports and data with Director of Clinical Practice and faculty
  • Student Disposition Information using the COE student management system
    • Monitor data collection
    • Run data reports at strategic times and when requested
    • Share reports and data with Director of Clinical Practice and faculty
  • Internships/Grow Your Own Partnerships
    • Create needed data collection system
    • Assist personnel with use of system, make corrections as needed
    • Run data reports at strategic times and when requested
    • Share reports and data with Director of Clinical Practice
  • Annual Reports for Program Approval/Accreditation/and the Higher Education Act Title II Accountability data collection system
    • Run data reports at strategic times and when requested
    • Work with the dean's office to submit reports at appropriate due dates
    • Share reports and data with Director of Clinical Practice and faculty

2) Personnel Communication and Tech Support

  • Facilitate communication with Teacher Education Associates and Cooperating Teachers through emails, phone calls and in person.
  • Prepare materials, informational folders and other resources for TEAs, CTs
  • Interact with students, answer questions as they arise, direct them to appropriate person
  • Occasionally present information at faculty meetings and trainings

3) Logistical Support

  • Assist in maintaining records of candidate placements, cooperating teachers (CTs) and supervisors (TEAs)
  • Enter, track CPO expenses: personnel contracts, stipends, travel reimbursements, purchases
  • Maintain iPads for TEA's, with appropriate apps, programs etc.
  • Maintain information, passwords etc. on office iPads
  • Trouble shoot TEA technology issues and connect with IT when needed
  • Event Planning to assist in all events for the CPO office
  • Assist in registrations, travel arrangements for CPO personnel
  • Keep notes at meetings of CPO, as needed

Associated Duties:

1) Collaborate with other administrative personnel in the COE

  • Work with program coordinators on practicum related items
  • Assist with student workers
  • Communication with program directors/cohort leaders

2) Professional Development/Interaction

  • Attend Cultural Enterprise, COE, department meetings
  • Attend staff development events
  • Continued learning of programs, systems through online tutorials, asking questions etc.
  • Possibility of attending training events for systems

Preferred Qualification: Previous experience at the Higher Education and/or PK-12 level

Minimum Requirements/Qualifications:

  • Strong computer and excellent organizational skills
  • Working knowledge of Word/Google Docs, Excel/Google Sheets/Basic Publishing
  • Understanding of Apple iPad, applications
  • Ability to learn new programs/applications
  • Ability to manage a number of different tasks concurrently
  • Excellent interpersonal communication skills and ability to build networks
  • Service oriented approach, with focus on support of all those in the placement programs

Time Percentages of Job Duties:

  • Information and data - 60%
  • Communication/Tech - 20%
  • Logistical support - 20%
