Position Overview: The Administrative Assistant is an essential part of the School of Communication and Design unit, providing administrative coordination and support for curriculum and programs, with direct assistance to the students, prospective student families, staff, and faculty. The individual is the first and primary contact for potential and current students and their families.

Essential Duties and Responsibilities:

  1. Faculty Support- Provides administrative support including faculty paperwork, confidential communications, planning and execution of cyclical and special projects, course evaluation system, development and implementation of course assessment protocols. Contributes at a high level to the support of department faculty acting as liaison with the Academic Affairs Office and to communicate and facilitate compliance with university programs and procedures.
  2. Logistics Management - Provides detailed organization and coordination to all aspects of the numerous events hosted annually by the school, and participates in university-wide events. Participates in building advanced planning calendars for university, coordinating department and school calendars with academic business and university calendars.
  3. Student Employee Management- Directs work-study recruitment, hiring, scheduling, training and evaluation, calculating and verifying timecards submitted, and documenting employee eligibility including completion of federal I-9 and W-4 forms.
  4. Information Management - Provides principal resources for inter- and intra-school communications, greeting and directing visitors to appropriate resources. Compiles and publishes clear and accurate information regarding academic programs and procedures. Provides editing and proofreading as needed.
  5. Resource Management- Maintains school office and classrooms with supplies and materials providing and facilitating equipment maintenance and replacement.
  6. Community Care - Creates and provides an environment of care and support for students and faculty, maintaining a high level of confidentiality and integrity.

Minimum Requirements/Qualifications:

  • High school diploma with two or more years of college work required; bachelor's degree preferred.
  • A minimum of three years of relevant work experience required; experience working in higher education preferred.
  • Ability to effectively manage multiple projects and meet deadlines is essential.
  • Proficiency in or ability to become proficient in Microsoft Office suite and Google office applications is required.
  • Ability to work independently and as a team member.
  • Strong interpersonal and collaborative skills.
  • Must possess strong written and oral communication skills.
