George Fox University announces an administrative staff position in Athletics to begin July 1, 2018.

The Administrative Assistant to Athletics is a full time position that the major purpose is to provide support and assistance to the Athletic Department including the Athletic Director, Associate Athletic Director, Sports Information Director and Coaches in all daily activities, tasks, projects, and major events.

Compliance Responsibilities include, but are not limited to:

  • Develop procedures and policies to monitor and ensure compliance with NCAA Division Ill, Northwest Conference (NWC) and George Fox University rules & regulations.
  • Maintains institutional control of the compliance system for George Fox University Athletic programs.
  • Verify student eligibility to participate in university athletics.
  • Investigates and reviews alleged NCAA and conference rule violations and communicates findings to appropriate parties.
  • Serves as a liaison between the athletic programs and the NCAA.
  • Monitors official and unofficial visits, and all other recruiting activities
  • Responsible for inputting NCAA compliance
  • Monitor NCAA rules and regulations
  • Collect required information for various reports requested by NCAA, NWC and University (such as NCAA Sports Sponsorship and Demographics report)
  • Clerical office work
  • Attend training to improve the effectiveness of athletic compliance
  • Direct special projects such as NCAA rule seminars, clinics, workshops related to department and rules compliance

Office Business Manager Responsibilities include, but are not limited to:

  • Assist with facility coordination and operations
  • Assist with team transportation logistics
  • Work cooperatively with other departments of the University
  • Provide assistance and clerical support for the Athletic Director and Associate Athletic Director, as well as office management/receptionist functions for the athletic office including managing calendars, answering phones, responding to messages and assisting with walk-ins.
  • Develop a system for and maintenance of athletic department records, operational procedures, and student athlete records including an athletic handbook.
  • Train and assist coaching staff with administrative procedures including payment requests, travel reconciliation forms, team travel arrangements, lodging, meals, etc.
  • Hire, train and supervise student workers.
  • Coordinate all needs for Athletic Department Meetings and other special athletic events. Reserve and set-up rooms, attend, record and distribute meeting minutes.
  • Assist in the development of the athletic booster club, club bylaws, membership etc.
  • All things related to Financial Affairs
  • Assist the Athletic Director in planning and implementation of Fundraising events.
  • Oversee student athletic insurance program, including managing procedures for proper care of injured athletes, distribution of policy information to athletes, assisting athletes with claim forms, and keeping records of all injuries.
  • Produce and distribute all game schedules and contracts for all GFU athletic teams.
  • Coordinate holiday and semester break housing logistics for on campus athletes with the Residence Life departments.
  • Performs other duties as assigned by the Director of Athletics and/or Associate Director of Athletics

Supervisory Responsibilities:

  • May oversee student workers within the athletic administrative offices.

Qualifications:

  • A strong and visible Christian faith with a servant's heart
  • Bachelor's Degree preferred, Associate Degree or similar required.
  • Prefer one to two years experience working in an athletic compliance role.
  • Interpersonal skills necessary to manage efficiently and courteously a diverse group of constituents.
  • Previous administrative assistant experience.
  • Excellent organizational, accurate verbal and written communication skills.
  • Ability to multitask
  • Knowledge of Microsoft Office (especially Excel) and knowledge of Google Platform.
  • Willingness to work nights and weekends
