Position Overview: The department Coordinator is an essential part of the Art & Design program, providing administrative coordination and support for curriculum and programs, with direct assistance to the department chair and faculty. The individual is the first and primary contact for potential and current students and their families. This is a 9 month (.75 FTE) position, working full time (8 am to 5pm) during the academic year (August 15 through May 14).

Essential Duties and Responsibilities:

Department and Faculty Support

  • Provides all administrative support including faculty paperwork, confidential communications, planning and execution of cyclical and special projects, facilitates load planning, course scheduling, course evaluation system, development and implementation of course assessment protocols.
  • Contributes at a high level to the support of department faculty acting as liaison with Academic Affairs Office and Dean of the College of Arts and Sciences to communicate and facilitate compliance with university programs and procedures.
  • Engages with faculty in department development and long-range planning.

Logistics Management

  • Provides detailed organization and coordination to all aspects of the numerous events hosted annually by the department and participates in university-wide events.
  • Participates in building advanced planning calendar for university, coordinating department calendar with academic business and university calendars.

Fiscal Management

  • Manages and executes the financial responsibilities of the department including developing and maintaining systems for financial accountability, generating and documenting payables, and facilitating expenditures of funds and reimbursements for departmental purchases.

Information Management

  • Provides principal resource for inter- and intra-departmental communications, greeting and directing visitors to appropriate resources.
  • Compiles and publishes clear and accurate information regarding academic programs and procedures; provides editing and proofreading as needed.

Resource Management

  • Maintains Art office and classrooms with supplies and materials providing and facilitating equipment maintenance and replacement.
  • Coordinates with university archivist to determine and provide appropriate materials for inclusion in archives.

Gallery Coordination

  • Participates with gallery directors in coordination and scheduling for all Minthorne and Lindgren Gallery exhibits arranging for work-study and other assistance with exhibit and reception staging.

Community Care

  • Creates and provides an environment of care and support for students and faculty, maintaining a high level of confidentiality and integrity.

Student Employee Management

  • Directs work-study recruitment, hiring, scheduling, training and evaluation, calculating and verifying timecards submitted, and documenting employee eligibility including completion of federal I-9 and W-4 forms.
  • By actions, words and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role.


Minimum Requirements/Qualifications:

  • High school diploma with two or more years of college work required; bachelor's degree preferred.
  • A minimum of three years of relevant work experience required; experience working in higher education preferred.
  • Ability to effectively manage multiple projects and meet deadlines is essential.
  • Proficiency in or ability to become proficient in Microsoft Office suite and Google office applications is required.
  • Ability to work independently and as a team member.
  • Strong interpersonal and collaborative skills.
  • Must possess strong written and oral communication skills.
  • Ability to communicate effectively in English, orally and in writing, including on telephone, and to understand and follow instructions.
